How to organise 5,000 wedding photos on a phone, a Mac or a PC
Make one folder per function, keep the photographer's file names, and keep three copies in two places. Do the heavy work on a laptop, in plain folders, because folders work on every computer and with every album maker. Use the Photos app or Google Photos for looking and for finding people, not as the only home for the originals.
The short answer
Folders first, apps second. A folder for each function, on a laptop or a drive, is the one arrangement that opens anywhere: on a Mac, on Windows, on your album maker's computer, and in ten years' time. Albums inside an app are good for looking, but they live inside that app.
Before you start, ask yourself what the organising is for. If it is to keep the wedding safe and easy to find, this guide is the job. If it is to make the album, organising all 5,000 is a detour, and the last section says what to do instead.
A folder scheme by function
Many photographers already deliver one folder per function. If yours did, keep their folders as they are. If everything came in one folder, the camera's own time on each photo tells you which function it belongs to: sort by date taken, and the functions fall into runs.
- Our wedding 2026 (the top folder)
- 00 From the photographer (the untouched copy, never edited)
- 01 Haldi
- 02 Mehendi
- 03 Sangeet
- 04 Baraat and Pheras
- 05 Reception
- Album (the photos you choose, later)
The numbers in front keep the folders in the order of the wedding, on every computer. Name each folder after the function as your family says it: "Haldi", "Mehendi", "Reception at Jaipur".
A file-naming tip: do not rename the photographer's photos. Their file names are how you, your photographer and your album maker find the same photo later. If you want an order, put a number in front and keep the name after it, such as 001_DSC_4521.jpg, so the photo still says where it came from.
On a phone
A phone is good for looking and for showing the family, and weak for holding 5,000 full-size photos: they can fill its storage, and moving folders around on a small screen is slow.
On an iPhone, Apple says you can make albums in the Photos app and folders that hold several albums. On Android, Google Photos is usually where the photos live, and its albums work the same way on the phone and on a computer.
Use the phone for one function at a time, or for the photos you are thinking about for the album. Keep the full set on a laptop or a drive.

On a Mac
Keep the originals in Finder: the top folder, one folder per function, on the Mac or an external drive. Finder folders work with every app, and your album maker can open them as they are.
Use the Photos app for looking. Apple says you can group albums into folders, so a "Wedding" folder can hold one album per function. Apple also says a Smart Album automatically gathers the photos that meet criteria you set, such as a date, so a Smart Album for each function's date fills itself. Apple notes that Smart Albums made on a Mac do not show up in Photos on an iPhone or iPad.
If a folder of albums goes, Apple says the photos themselves stay in your library. Albums are a way of looking at the photos, not a copy of them.
On a Windows PC
Use File Explorer for the folders: the same top folder and one folder per function, in Pictures or on an external drive. Sort by date taken to find where one function ends and the next begins.
Microsoft says the new Photos app groups photos in folders, like your other Windows files, rather than albums, and that the People tab and grouping photos by similar faces are not available in the new app. So on Windows, your folders are the organisation; the Photos app shows them to you.
In Google Photos
Google Photos is the easiest place to find people. Google says that with face groups, photos with very similar faces that are likely to be of the same person are grouped together, and you can add a name that, by default, only you see. Google also says face groups are not available in every region, domain or account type.
Make an album per function. Google says an album can hold up to 20,000 photos or videos, and that photos you take out of an album are still in your Google Photos library. Check the quality setting and your storage before you add a whole wedding; our comparison of Google Photos for a wedding covers both.
Phone, Mac, Windows or Google Photos: which for what
| Good for | Grouping by function | Finding people | Watch out for | |
|---|---|---|---|---|
| Phone | Looking, showing family | Albums, and on iPhone folders of albums | Through the Photos or Google Photos app | Storage fills fast with full-size photos |
| Mac | Keeping the originals in order | Finder folders; albums and Smart Albums in Photos | The Photos app | Mac Smart Albums do not show on iPhone |
| Windows PC | Keeping the originals in order | Folders in File Explorer and the Photos app | Not in the new Photos app, Microsoft says | No face grouping; name folders well |
| Google Photos | Finding people, sharing | One album per function | Face groups, where available | Storage and the quality setting |
A setup that works for many couples uses two: plain folders on a laptop or drive for the originals, and Google Photos or the Photos app for looking and finding people.
Backups: three copies, two places
A common rule of thumb for backups: keep three copies, in at least two different places. One copy is never enough; a laptop can be dropped and a pen drive can be lost in the move after the wedding.
- Copy one: the folder on your laptop or Mac.
- Copy two: an external drive, kept in a different room or a parent's house.
- Copy three: online, in your own Google Drive, iCloud or another account you pay for or control.
- Count the photos in each copy once, so you know they match.
- Keep the photographer's link too, until the date it closes.
The photographer's link is not one of your three copies. It is theirs, and it can close when the studio clears space.
When organising is not the goal
Many couples who search for how to organise their wedding photos want one thing in the end: the album. Putting 5,000 photos in perfect order first can take weeks, and it does not get you closer to choosing.
If the album is the goal, make the function folders and the backups, then stop organising and start choosing: the two of you first, then family, then every function. Our guide to choosing wedding album photos has the order, and the wedding album calculator tells you how many photos you are choosing.
Or let Phopho and Toto do the sorting. Bring the whole folder, up to 12,000 photos. We find the two of you, put every photo in its function and make the first album at the size you choose: Compact (150), Classic (250) or Grand (400). Usually 35 to 70 minutes once your photos are in. You change anything.

Questions people ask
What is the best way to organise thousands of wedding photos?
One folder per function, numbered in the order of the wedding, on a laptop or a drive. Keep the photographer's file names, and keep three copies in two places.
How do I organise wedding photos on a Mac?
Keep the originals in Finder folders by function. In the Photos app, Apple says you can group albums in folders and make Smart Albums that gather photos by criteria such as date.
How do I organise wedding photos on Windows?
Use File Explorer folders by function. Microsoft says the new Photos app shows folders rather than albums and does not group photos by face.
Can Google Photos group the photos by person?
Google says face groups put photos of the same person together, and names you add are private to you by default. It is not available in every region or account type.
Should we rename the photographer's photos?
No. Keep their file names so everyone can find the same photo. If you want an order, put a number in front and keep the name after it.
How many copies of the wedding photos should we keep?
A rule of thumb: three copies, in at least two places, such as a laptop, an external drive at a parent's house, and your own online storage.
Do we need to organise everything before making the album?
No. Make the function folders and the backups, then start choosing. Ordering all 5,000 photos first rarely brings the album closer.
